Pre-Departure Travel Checklist

Everything you need to prepare for your Indigo Expedition adventure

Essential Information

Essential Trip Documents

  • Read your Essential Trip Information thoroughly - contains critical details about visas, vaccinations, packing lists, and itinerary specifics
  • Download the Indigo Expedition mobile app for real-time updates and digital copies of your documents
  • Make copies of all important documents (passport, visas, insurance) and store separately from originals

Your consultant can email these documents again if needed.

Passport Requirements

  • Passport must be valid for at least 6 months beyond your return date - many countries require this
  • Ensure your passport has at least 2 blank pages for visas and entry stamps
  • If renewing your passport, do so immediately and provide new details to your consultant
  • Name on passport must exactly match your booking (including middle names if present)

Visa Requirements

  • Check visa requirements for all countries on your itinerary - requirements vary by nationality
  • Some visas require processing weeks/months in advance (e.g., Russia, Vietnam, Australia)
  • Electronic visas (e-Visas) may be available for some destinations
  • Ensure visa validity covers your entire stay in each country
  • Some countries require proof of onward travel - your consultant can provide this

Visa requirements can change suddenly. Your consultant will provide the latest information.

Travel Arrangements

Flights & Airport Transfers

  • Provide your flight details to your consultant at least 3 weeks before departure
  • If booking airport transfers through us, ensure flight details are accurate
  • Consider arriving at least one day early to account for flight delays/cancellations
  • For international flights, arrive at the airport 3 hours before departure

Pre/Post Trip Accommodation

  • We can arrange additional nights before/after your trip (subject to availability)
  • Early booking is recommended, especially during peak seasons
  • Consider arriving early to adjust to time zones before your expedition begins

Rooming Preferences

  • Single rooms available with supplement fee (subject to availability)
  • Specify room preferences (twin/double) if traveling with others
  • Special bedding requests (allergies, medical needs) should be communicated in advance

Special Requests & Activities

  • Review your Essential Trip Information for special inclusions
  • Optional activities may require advance booking - check with your consultant
  • Notify us of any dietary restrictions, mobility concerns, or special needs

Health & Requirements

Travel Insurance

  • Comprehensive travel insurance is mandatory for all Indigo Expedition trips
  • Policy must cover:
    • Medical expenses (minimum $200,000 coverage)
    • Emergency evacuation and repatriation
    • Trip cancellation/interruption
    • Personal liability
    • Loss/theft of baggage and personal items
  • COVID-19 coverage strongly recommended
  • Purchase insurance immediately after booking to cover pre-departure cancellations
  • Carry your insurance details with you during travel

Payments & Finances

  • Final payment due 56 days before departure (90 days for polar expeditions)
  • Credit cards may not be widely accepted - carry local currency
  • Notify your bank of international travel to prevent card blocks
  • Consider carrying backup payment methods (multiple cards, emergency cash)

Health Preparations

  • Vaccinations: Check requirements 8-12 weeks before travel as some need multiple doses
  • Prescriptions: Bring adequate supply of medications in original containers
  • Medical Form: Complete and return any required health assessments
  • Dental: Resolve any dental issues before departure
  • Fitness: Our trips require moderate fitness - begin training if needed

  • Money: Mix of cards and local currency (small bills useful)
  • Medications: Personal prescriptions plus basic first aid supplies
  • Electronics: Universal adapter, power bank, cables
